To create a new export navigate to Data Management > Export > Export Builder. Click ‘Add Export’ to start the export build process.
There are multiple steps needed to create a new export.
Step 1 – Focus #
This step is currently skipped. The builder can create pupil focused exports, but a step has been built into the process in order to accommodate future expansion to other focuses.
Step 2 – Linked Data #
This allows you to select data related to pupils such as contacts, or medical data. Leaving the selections empty will just allow direct pupil fields to be selected for export.
Check the box to link a type of data. The actual type of linking between the pupil data and the selected can be specified on the right hand side dropdown under the ‘Join’ column. The available joins are:
- Left (default) – This will show all of the pupils as well as any linked records in the selected areas. All of the selected pupils will be shown regardless of if they have data in the linked areas.
- Inner – This will only only show records for pupils where they also have records in the linked areas. This may be useful for creating an extract with just the pupils on the SEN Register for example.
- Right – Works the opposite of Left, this will return the linked data as a priority and show pupil data if there is a match found.
Step 3 – Fields #
This is the list of fields that you can select for export based on the selected linked data, broken up into sections.
Step 4 – Subjects #
This is a list of pupils to select for the export. The list contains only current pupils and can be searched, along with buttons for selecting all/none.
Step 5 – Finish #
This is the last step and produces the data both on screen and on command as a downloadable Excel file.
From here you can choose to save the export for future.
Navigating the Builder #
The selections at each step are saved, navigating backwards will remember the selection unless they change on progressing. Restarting the builder will clear the selection cache.
